HomeMy WebLinkAboutAgenda 04-21-2026; 8-f - Approval of Senior Lunch Caterer Contract Extension 1 ORANGE COUNTY BOARD OF COMMISSIONERS ACTION AGENDA ITEM ABSTRACT Meeting Date: April 21, 2026 Action Agenda Item No. 8-f SUBJECT: Approval of Senior Lunch Caterer Contract Extension DEPARTMENT: AGING ATTACHMENT(S): INFORMATION CONTACT: Contract Extension Janice Tyler, 919-245-4255 PURPOSE: To approve a food service caterer contract one-year extension to provide noon meals for the Home and Community Care Block Grant-funded Senior Lunch Program at the Seymour and Passmore Centers for the period July 1, 2026 to June 30, 2027. BACKGROUND: The Orange County Department on Aging's Lunch program provides a nutritious noon meal to persons age 60+. A request for proposals (RFP) was issued by Orange County Purchasing in April 2024 for a caterer to provide the meals for July 1, 2024 through June 30, 2026, with an option for a one year renewal. The bid selected was from Beau Catering. The cost per meal will continue at the rate of$8.00 per meal. With this contract the total cost of meals purchased will not exceed $250,000 annually. FINANCIAL IMPACT: Most of the cost for the Senior Lunch Program is reimbursed by the North Carolina Division of Aging. The balance of the funding is provided by Orange County and the Towns of Chapel Hill and Carrboro. These funds are included in the FY 2026-27 operating budget. Cost share donations are also collected from the participants. ALIGNMENT WITH STRATEGIC PLAN: This item supports: • GOAL 2: HEALTHY COMMUNITY OBJECTIVE 8. Invest in services and programs that improve the health and quality of life of the community. The purpose of this program is to provide a nutritious noon meal to persons age 60+, targeting those individuals who are in the greatest social and economic need. RECOMMENDATION(S): The Manager recommends that the Board approve and authorize the County Manager to sign the catering services contract extension and any other amendments following approval and review by the County Attorney. 2 NORTH CAROLINA CONTRACT AMENDMENT ORANGE COUNTY THIS CONTRACT AMENDMENT ("Amendment") is made and entered into this_day of , 20_by and between ORANGE COUNTY (hereinafter referred to as "County") and Beau Catering (hereinafter referred to as "Provider"). WITNESSETH: THAT WHEREAS, the County and Provider entered into a contract dated July 1, 2024, (hereinafter the "Original Agreement'), for the provision of services for catering for the Orange County Department on Aging Congregate Meals Program; and WHEREAS, the County and Provider desire to amend the Original Agreement for an additional one-year extension while keeping in effect all terms and conditions of the Original Agreement not inconsistent with the terms and conditions set forth below. NOW THEREFORE, for and in consideration of the mutual covenants and agreements made herein, the parties agree to amend the Original Agreement as follows: 1. Paragraph 17 of the Original Agreement is amended to read "This Agreement shall remain in full force and effect until June 30,2027,or until terminated as herein provided." 2. The first sentence of Paragraph 13 of the Original Agreement is amended to read "The amount of this Agreement for the period July 1, 2024 through June 30, 2027 shall not exceed Two Hundred Fifty Thousand Dollars($250,000.00)per fiscal year."All other terms contained in Paragraph 13 are unchanged. 3. Except for the changes made herein,the Original Agreement shall remain in full force and effect to the extent it is not inconsistent with this Amendment. In the event there is a conflict between the terms of the Original Agreement and the terms of this Amendment,this Amendment shall control.
