HomeMy WebLinkAboutCH-OCVB minutes 081705Minutes Chapel Hill/Orange County Visitors Bureau Board August 17, 2005 The Chapel Hill/Orange County Visitors Bureau Board met at the Orange County Historical Museum, 201 N. Churton Street, Hillsborough at 8:00 a.m., August 17, 2005. Board Members Present: Moses Carey Rick Strunk Frances Dancy Bill Crowther Mark Sherburne Creston Woods Rachel Phelps Hawkins Kevin Callaghan Board Members Absent: Anne Loeb Edith Wiggins Lee Pavao Linda Convissor Staff Present: Dianne Reid Betty Davis Guests: Cathleen Turner CALL TO ORDER Mr. Callaghan, conducting the meeting in Mr. Pavao’s absence, called the meeting to order at 8:05 a.m. WELCOME AND INTRODUCTION OF GUESTS Mr. Callaghan, Vice Chair, opened the meeting by welcoming Board Members and guests Cathleen Turner of the Alliance for Historic Hillsborough and Ms. Jennifer Koach. Ms. Koach, Director of the Orange County Historical Museum, gave a brief introduction on the history of the museum for those present at the Board Meeting. APPROVAL OF MINUTES Mr. Callaghan asked for approval of the minutes of the June 15, 2005 Board Meeting. Mr. Mosey Carey made a motion to accept the minutes as presented. Mr. Rick Strunk seconded the motion. With all Board Members in agreement, the motion was carried unanimously. COMMITTEE REPORTS Budget and Finance Mr. Moses Carey, Finance Chair, reported that after reviewing the June 2005 financial report that was provided with the August Board Packet, there was a need to restructure the way the expenditures and revenues are reported. At the request of Mr. Carey, Ms. Reid stated that she would review and revise the reporting procedures to project a better way of reporting the monthly financials. Marketing Mr. Rick Strunk, Marketing Chair, reported that the updated and redesigned dining and nightlife guide was out for bids from printers. Mr. Strunk also reported that the North Carolina High School Athletic Association had sent out information to all North Carolina high schools highlighting Chapel Hill as a visitor destination. Mr. Strunk commented that the Bureau's E-newsletter and website was a good tool to promote Chapel Hill. INTERIM DIRECTOR’S REPORT Ms. Dianne Reid deferred to Mr. Mark Sherburne to update the Board Members on the progress of the search for an executive director. Mr. Sherburne stated the committee had narrowed the search to two candidates. Three members of the search committee were in agreement on the final candidate and were awaiting responses from the other two members of the search committee. It is anticipated that an executive director could be hired by the middle of September in compliance with Orange County Personnel guidelines. Ms. Reid distributed copies of the proposed home page for the Bureau’s new and updated website. Ms. Reid stated that the website could possibly be in the “test mode” as soon as September. The new and updated dining and nightlife guide, along with the updated visitors guide and visitors map will have a consistent look. Ms. Reid also reported to Board Members that the Dining and Nightlife Guide will be on on-line. NEW BUSINESS Mr. Callaghan presented the meeting dates for the Visitors Bureau Board Meetings for 2005-2006. The December Board Meeting location (Memorial Hall) has not been confirmed at this time. OLD BUSINESS None. Other Matters of the Board and Announcements None. ADJOURNMENT With all business of the Board completed, Mr. Callaghan asked for a motion to adjourn the meeting. Mr. Carey made the motion to adjourn and seconded by Mr. Strunk.
