HomeMy WebLinkAboutCH-OCVB minutes 101806Minutes Chapel Hill/Orange County Visitors Bureau Board October 18, 2006 The Chapel Hill/Orange County Visitors Bureau Board met at The Webb House Bed and Breakfast, 117 East Queen Street in Hillsborough at 8:00 a.m. on October 18, 2006. Board Members Present: Lee Pavao Creston Woods Rick Strunk Linda Convissor Bill Crowther Frances Dancy Bob Ward Mark Sherburne Rachel Hawkins Jon Wilner Liz Parham, Ex-officio Board Members Absent: Moses Carey, Jr. Jim Ward Staff Present: Laurie Paolicelli Dianne Reid Betty Davis Guest: Cathleen Turner CALL TO ORDER Mr. Lee Pavao, Chair, called the meeting to order at 8:10 a.m. WELCOME AND INTRODUCTION OF GUESTS Mr. Pavao opened the meeting by introducing Ken and Brenda Garrison, owners of the Webb House, Hillsborough Mayor Tom Stevens and Cathleen Turner, Director of the Alliance for Historic Hillsborough. Mayor Stevens welcomed the Visitors Bureau Board and guests to Hillsborough and to the Webb House, the new Bed and Breakfast in Hillsborough. Mayor Stevens gave an overview of the strategic plans for future development of Hillsborough. Ken and Brenda Garrison, owners & operators of the Webb House, spoke briefly about the restoration of the Webb House Bed & Breakfast. The Garrison’s welcomed Board Members to tour the B & B after the meeting. APPROVAL OF MINUTES Mr. Pavao asked for a motion to approve the minutes of the September 20, 2006 Board Meeting. Ms. Frances Dancy made a motion to accept the minutes as presented. Mr. Mark Sherburne seconded the motion. With all Board Members in agreement, the motion was carried unanimously. COMMITTEE REPORTS Budget & Finance In Mr. Carey’s absence Ms. Paolicelli presented the current financial report. The September financial report indicated the Bureau was on target at this time with no unexpected expenditures. The year-end report summary indicated that the official year-end audit had not been completed but a complete financial year-end summary should be available for the November board meeting. DIRECTOR’S REPORT Ms. Paolicelli showed the new promotional DVD to those present. The video features Chapel Hill, Carrboro and Hillsborough. The DVD was produced by Horizons Productions with Patty Griffin, Communications Manager of the Visitors Bureau. Ms. Paolicelli reported that hotels in Orange County were doing a “healthy” business during the summer months. With the addition of two new hotels opening in Chapel Hill soon it is essential to continue promoting Chapel Hill/Orange County to attract visitors to stay in local accommodations. Linda Ekeland, Director of Sales, is working on the annual ‘Pathways to Successful Meetings” familiarization tour for meeting planners. A brief discussion ensued regarding the Visitors Bureau tracking overnight stays during football game weekends. UNC’s homecoming weekend is November 10th and it is anticipated occupancy at local accommodations to be good. Mr. Woods stated that fraternities and sororities were driving good business during this period of time. Ms. Paolicelli stated that the Bureau would work more aggressively on promotion the Hillsborough holiday home tours. Ms. Paolicelli announced that she had learned there were plans for a hotel to be built in Carrboro with a completion date of 2008. In conclusion Ms. Paolicelli stated that she would also be focusing on market research on “branding.” COMMITTEE REPORTS Sales Committee No Report By-Laws Committee No Report MARKETING COMMITTEE Mr. Strunk reported the Advertising Committee, after reviewing presentations from four advertising agencies had narrowed the selection to two agencies, Jennings Advertising and Rella Cowan/Webslingerz. The two advertising agencies will make presentations at the November 15th board meeting. Mr. Strunk asked for a motion that Board Members accept the recommendations of the Advertising Committee to allow the two agencies to make presentations at the next board meeting. Mr. Woods made the motion that the recommendations of the Committee be accepted. The motion was seconded by Mr. Bill Crowther. The motion was unanimously passed. NEW BUSINESS Mr. Strunk announced that he was meeting with the local cable channel to negotiate the televising of the North Carolina High School Athletic Associations football championship games. OLD BUSINESS – None ANNOUNCEMENTS Ms. Dianne Reid announced Orange County has hired Laura Blackmon as the new Orange County Manager. Ms. Blackmon will begin her duties on November 30th, 2006. Ms. Paolicelli announced that Mr. Roger Stancil, newly hired Chapel Hill Town Manager will be attending the January 2007 Chapel Hill/Orange County Visitors Bureau Board Meeting. ADJOURNMENT With all business of the Board completed Mr. Pavao asked for a motion to adjourn the meeting. Ms Dancy made the motion to adjourn and the motion was seconded by Mr. Crowther.
