Action Item: December 2015 Minutes approved. Discussion Point: Director's Report Decision /Vote(s): The possible appointment of Jen Rogers to the Arts Commission Advisory Board will be on the BOCC's January 21, 2016 meeting agenda. County Manager has directed that all press releases should go through the Community Relations Department (a reversal of previous notification from Laurie Paolicelli). A draft of the county's new media policy is being worked out and a final version should be created around February 15t. This new media policy pertains mostly to contact by the news media, and requires county staff to alert the Community Relations Department and the Manager's Office and tell them what was discussed. This new media policy should not pose problems for the OCAC's new Social Media policy. OCAC staff is in the process of checking the status of the purchase order (for around $4,000) for upgraded lighting for the new art exhibit space in the Whitted Building. This purchase order hasn't reached the Finance Office at this time, so staff is contacting the Asset Management Department RE: status. At this time, we think that nothing has been ordered and an install date has not been arranged. The 2016 Piedmont Laureate, mystery author Katy Munger, will be presented on January 13, 2016 at the Annual State of Arts & Culture in Wake County event at the NC Museum of Art in Raleigh. Listings of nonprofit arts and culture organizations in Orange County for the upcoming AFTA study have been submitted to the NC Arts Council. The OCAC's January E- Newsletter will go out this week. The first budget meeting for FY17 will be held on January 14, 2016 by the Finance Department. Action Item: None Discussion Point: CHOCVB Liaison, Ad Hoc Committee Updates Decision /Vote(s): Debb Hepp reported that the Visitors Bureau board did not meet in December, 2015. Debb Hepp gave the Marketing Committee Report. The contract for Sheer Associates has been finalized and Debb Hepp has compiled a draft list of stakeholders that could be interviewed for the Sheer Topic D Topic E Associates survey. She is sending this list to Joel Sheer. He will draft an outline that we can review at our next meeting. He has a listing of grant recipients compiled by Debb Hepp. The next meeting of the Marketing Committee will be January 28, 2016 at 9 am at Joe Van Gogh in Chapel Hill. The Facebook social media policy, drafted by Kim Roberts, was distributed and will be finalized at the next Marketing Committee meeting. Reminder: Beginning in February, 2016 the Marketing Committee will meet on the 3rd Thursday of the month (instead of the 4th Thursday of the month). Action Item: An Ad Hoc Grant Application Study Committee was suggested by Chair Tim Hoke and formed, consisting of Joy Salyers, Ian Bowater and Tinka Jordy. Discussion Point: Agenda Additions /Old Business /New Business Decision /Vote(s): Chair Tim Hoke asked this board about their "New Year's Resolutions for the Arts Commission ". The following topics were mentioned: more outreach to artists, schools and community to generate interest; public discussions of art; increased funding and awareness of OCAC; and a sponsored annual event. Action Item: Debb Hepp will ask the Visitors Bureau where the newly created Airbnb Occupancy Tax funds are allocated. Are they being added to the hotel /motel tax funds? Discussion Point: Calendar Decision /Vote(s): Hillsborough Arts Council's Solstice Celebration Lantern Walk was very successful. They had around 2,000 people in attendance. Tim Hoke reminded OCAC board members to please attend upcoming events sponsored by our grant recipients. If attending any school performances, please call the school office ahead of time to inform them of your visit. The next OCAC board meeting will be on Monday, February 8, 2016 from 6:30 -7:30 pm in Meeting Room D at the Southern Human Services Center (2501 Homestead Road) in Chapel Hill.
