HomeMy WebLinkAboutMinutes - 10-15-1997 Board Mtg Minutes Chapel Hill/Orange County Visitors Bureau Board October 15, 1997 The Chapel Hill/Orange County Visitors Bureau Board met Wednesday, October 15, 1997 at 8:08 a.m. at the Triangle SportsPlex in Hillsborough. Board Members Present: Lee Pavao, Chairman Moses Carey, Jr. Margaret Skinner Catharine Callaway Rick Strunk Nancy Davis Pat Evans Stephen Halkiotis Remus Smith Board Members Absent: Hilliard Caldwell Staff Present: Shelly Green, Director Betty Davis, Administrative Assistant Guests: Ted Abernathy, Orange County EDC Maria Lundberg Creston Woods, General Manager, Carolina Inn Bill Crowther, County Commissioners Chair Chairman Lee Pavao called the meeting to order at 8:08 a.m. at the SportsPlex. INTRODUCTION OF GUESTS Mr. Pavao welcomed members and guests to the board meeting. APPROVAL OF MINUTES Mr. Pavao requested the approval of the minutes. Ms. Catharine Callaway requested the spelling of her name be corrected in the minutes. Request noted and change will be made. MARKETING COMMITTEE Ms. Margaret Skinner reported the 1997-98 marketing plan for the Visitors Bureau was placed at each board members seat. Ms. Skinner also reported that Joe Blake, Director of Sales for the Bureau, had recently hosted a roundtable discussion with local industry partners. The presentation went very well and Ms. Skinner that to continue these roundtable group discussions would be beneficial to the travel and tourism industry in our community. BUDGET AND FINANCE Mr. Moses Carey, treasurer, reported there was no significant outstanding expenditures or income. Included with information to each board member present was a draft of the 1996- 97 annual fiscal report. With no questions regarding the financial report, Mr. Carey turned the meeting over to the chair. DIRECTOR'S REPORT Ms. Green introduced Maria Lundberg as the Bureau's Communications Director. She will report to work on October 27 ', 1997. Maria will bring to the bureau thirteen years of experience in the communications field. Ms. Green gave an update on the tour of Orange County for Chancellor Michael Hooker, hosted by Bill Crowther, chair of the Orange County Board of Commissioners. Ms. Green reported she and Nancy Davis, public relations director at UNC-CH, have worked very diligently to make the tour successful. The itinerary at this time will include tours of Chapel Hill Transit, Maple View Farm Milk Company, Orange County Emergency Management facility, the Occaneechi Indian Village site in Hillsborough, and a site in Carrboro still to be arranged. Continuing with her report, Ms. Green provided board members with a draft of the City Search Web Site. She further stated the City Search Web Site would be geared to the local audience for events and information relevant to Chapel Hill/Orange County. Ms. Green reported she did not have any additional information on the Black Cultural events scheduled for January and February of 1998. She did state that the Visitors Bureau would be promoting the events. Ms. Green showed and passed around a copy of the newly completed group tour manual and advised board members that copies of the manual were available if they wanted one. The 11 X 17 visitors map is near completion and is expected to be printed soon. The map will be in a padded booklet for distribution to visitors from local hotels, attractions, and welcome centers. Also, the map will be printed in the next issue of the Happenings, and each publishing of the calendar thereafter. Ms. Green introduced Mr. Joel Sheer of Sheer Associates, the agency assisting the Bureau with marketing and advertising. Mrs. Sheer presented to the board five choices for marketing slogans. After briefly discussing the slogans submitted for consideration, Ms. Pat Evans made a motion to accept You'll Be A Fan for Life, which was seconded by Ms. Skinner. With all members in agreement the motion carried. The slogan will be used on the draft of highway signs that will be presented to the Board of Commissioners. 2 Ms. Green advised the board members that the annual report for the visitors bureau was not completed, however; a draft of the annual report would be in next month's board packet. OLD BUSINESS Mr. Pavao will send a letter to the commissioners with the proposed signage for the highway signs and recommending that the signs be placed at the entrances to all major and secondary roads into the county. In the letter, Mr. Pavao will ask that the highway signs be put on the next commissioner's agenda. Ms. Green reported that Mr. Dick Matthews and the Chapel Hill Museum board had hired a director for the museum. Mr. Rodney Barfield will be in this new position effective November 1st. Mr. Barfield will be introduced to the visitors bureau board at the next scheduled board meeting. NEW BUSINESS Ms. Green reported the performing art center for Orange County, a Public/Private Partnership venture, will be discussed at the PPP meeting in Ann Arbor, Michigan next month. ADJOURNMENT With no further business to be discussed Ms. Skinner made a motion that the meeting adjourn. Mr. Carey seconded the motion.
