PURPOSE: To consider awarding an RFP for the printing of 50,000 Visitors Guides.
BACKGROUND Funds have been allocated in the 1998-99 budget for the printing of 50,000 Visitors
Guides for distribution through the end of 1999 to various sources including the four welcome centers in
the county; select accommodations, attractions and meeting facilities; state welcome centers and other
visitor industry businesses. Also, the Guide is used to fulfill visitor inquiries received at the Bureau and
provided to conference and meeting planners for distribution to their groups. The finished product will be
a four color sixty page document with fold out maps. It will contain useful information for visitors
including enhanced listings in the Accommodations, Restaurant and Shopping sections. Other additions
include sections on guided tours and a listing of major annual events occurring in Orange County that aze
of interest to visitors.
Orange County's needs were identified and specifications were developed by County Staff and the Visitor's
Bureau's design firm. Proposals were solicited from twelve vendors. Four bidders responded. A tabulation
is attached. The R. L Bryan Company of Columbia, South Cazolina submitted the lowest responsible
proposal in the amount of $33,393.00 for 50,000 guides.
RECOMMENDATION(S): Authorize the Manager to awazd the RFP to The R. L Bryan Company of
Columbia, South Cazolina in the amount of $33,393.00 for the printing of 50,000 guides.
